The abstracts for this conference will be managed by The Conference Management Toolkit (CMT), which is a conference management system for hosting academic conferences, sponsored by Microsoft Research. To submit an abstract you will need to have a Microsoft CMT account.

Abstract Preperation and Submission Guidelines

Participants are invited to submit abstracts that clearly describe the purpose of the study, the methods applied, and the main results obtained. Submissions should be precise and informative, and must not exceed 500 words.

All abstracts will undergo evaluation by the Scientific Committee. Decisions regarding acceptance and presentation format will be made solely on the basis of the submitted abstract. Authors will subsequently be informed whether their contribution has been accepted and, if so, whether it will be scheduled as an oral or poster presentation.

Submission Process

Abstracts must be submitted through the Microsoft CMT system. During the submission procedure, authors will be required to provide:

  • The title of the contribution
  • Names of all authors along with their institutional affiliation
  • The most relevant conference topic
  • Indication of preferred presentation type (oral or poster)
  • A list of suggested reviewers

There is no limitation on the number of contributing authors. However, each abstract may designate up to two presenting authors. All communication related to the submission will be addressed to the designated presenting author(s).

Confirmation and Reference Code

Once an abstract has been successfully uploaded, the presenting author(s) will automatically receive a confirmation email including a unique Reference Code assigned to the submission. If this confirmation is not received, authors are requested to contact the Organising Committee at enfiber@metu.edu.tr.

For any future communication, please refer to your submission by citing the assigned Reference Code.

Review Outcome and Revisions

Authors will be notified of the acceptance or rejection of their abstract within 10 days of submission.

If modifications are needed after submission, a revised version may be uploaded via the Microsoft CMT platform. The newly submitted file will replace the previous version, while the Reference Code will remain unchanged.

Allocation of Presentation Form

Due to the limited number of available oral presentation slots, not all abstracts requesting oral presentation can be accommodated in the programme. The Scientific Advisory Committee will select abstracts for oral presentation based on relevance and evaluation results. Abstracts not selected for oral presentation will be assigned to the poster session.

Poster Presentation Guidelines

Abstracts selected for poster presentation will be displayed in the designated poster exhibition area.

Dedicated poster viewing times will be included in the conference programme to ensure participants have sufficient opportunity to engage with the posters and their authors. During these scheduled time slots, poster presenters are expected to stand by their posters to present their work and interact with attendees.

When preparing your poster, please note the following:

  • Maximum poster size: A0 (84 x 119 cm)
  • Orientation: Portrait
  • Use a clear layout and ensure all text is easily readable from a distance
  • The use of graphs, charts, tables, and visuals is strongly encouraged
  • Materials for attaching posters to the poster boards will be provided on site
  • Removal of posters at the end of the assigned display period is the responsibility of the presenter
  • Posters not removed by the indicated take-down time may be removed and disposed of by the organisers
  • Presenters are kindly asked to include the conference logo on their posters.

Oral Presentation Guidelines

Oral presentations are expected to be scheduled as 12 minutes for presentation followed by 3 minutes for discussion.

Each session room will be equipped with a laptop/PC compatible with standard PowerPoint formats, as well as microphones for both speakers and audience questions. Technical support will be available throughout the event.

To help sessions run smoothly, presenters are kindly asked to follow these guidelines:

  • Please keep strictly to the allocated time
  • We recommend using widescreen (16:9) format for PowerPoint presentations
  • Please upload your presentation at least 2 hours before your session
  • Bring your presentation on a USB drive or other storage device as a backup
  • Arrive at the venue with sufficient time to locate your session room and complete the upload process
  • Please be in your session room at least 15 minutes before the session begins
  • Introduce yourself to the session chair before the start of the session
  • If needed, assistance will be available from the event organisers
  • Presenters are kindly asked to include the conference logo on their presentations.
